SERVICE RECEPTIONIST

AutoCare Tea Gardens is seeking a Service Receptionist to join our automotive workshop.
This is a customer-facing service and administration position responsible for helping manage the day-to-day flow between our customers, office and workshop. The role requires strong organisation, accurate communication and the ability to manage multiple priorities in a busy automotive environment.
Key Responsibilities
The position will include:
* Answering incoming telephone calls professionally and assisting with customer enquiries.
* Greeting customers and managing front-of-house enquiries.
* Booking vehicles for servicing, repairs and inspections.
* Managing the workshop booking diary and scheduling work appropriately.
* Accurately recording customer concerns and requested work.
* Communicating with customers regarding vehicle progress, estimates, additional work and completion.
* Preparing and issuing invoices and processing customer payments.
* Preparing or assisting with estimates and quotations.
* Ordering parts and following up suppliers where required.
* Recording messages and ensuring callbacks are directed to the appropriate staff member.
* Liaising closely with technicians, the Workshop Foreman and management.
* Maintaining accurate customer, vehicle and workshop records.
* General office administration and filing.
* Maintaining customer confidentiality and appropriately handling personal information.
* Keeping the reception and office areas organised and professional.
The Service Receptionist is not expected to diagnose vehicles over the phone. The role requires gathering accurate information from customers and communicating information provided by our technicians clearly and correctly.

* The ability to prioritise multiple tasks in a busy workshop.
* Confidence communicating with customers both face-to-face and over the phone.
* The ability to accurately relay technical information provided by technicians.
* A professional, reliable and responsible approach to work.
* The ability to work effectively as part of a small team.
* Competence using computers and general office software.
* A willingness to learn automotive terminology, workshop procedures and automotive administration processes.
Automotive Experience
Previous automotive industry experience is highly regarded, particularly experience in:
* Automotive service reception
* Service advising
* Automotive administration
* Parts interpreting or parts administration
* Mechanical workshops
* Dealership service departments
Extensive mechanical knowledge is not essential. However, the successful applicant will need to be willing and capable of developing a practical understanding of automotive terminology, vehicle servicing and workshop processes.
Training Opportunity
For a suitable successful applicant, AutoCare Tea Gardens may consider providing the opportunity and training to undertake a Certificate III in Automotive Administration.
This may suit an applicant looking to develop a long-term career in automotive administration and service reception.

* Some flexibility in working hours may be available for the right applicant.
* Practical experience across customer service, automotive administration and workshop operations.
* Potential Certificate III in Automotive Administration training for a suitable applicant.
