Most people shopping a senior shuttle buy more than they need. Let's say you run the same loop, same stops, and on most days pick up the same riders. You have a predictable route, and that's a good thing that turns into a real buying advantage. But what if you want something bigger?

Better fuel mileage is on everyone's mind since diesel is over $5 a gallon and climbing. These days, getting by with what you need isn't a small savings. Also, Metro Magazine reports the bus-driver shortage isn't letting up, and CDL operators are the hardest seats to fill. When you add the non-CDL driver, the better mileage, and lower insurance it adds up to thousands a year.

For senior shuttles, if you want to put your money where it can be effective, a working lift matters a lot more than seat count. So spend your money there.

Let's do some Campus Shuttle Math.

The sticker price is the smallest number in a shuttle's five-year cost.

What you actually pay for over five years is the seats you run empty. On our own lot, the spread is plain. A right-sized cutaway for a small daily loop runs around $20,000. Buy a mid-size shuttle and it'll run $65,000 and up. That's about $45,000 spent on seats that ride empty, before the extra fuel and insurance you carry on them for five years. Right-size your purchase for your needs and that money stays in the budget.

And speaking of numbers, here's one that we remind our customers about. Under the IRS commuter rule, transportation you provide employees in a qualifying vehicle can be a pre-tax benefit worth up to $340 a month per employee in 2026. Run it right and the bus pays for part of itself.

So the honest five-year cost is a right-sized purchase, plus fuel and insurance on the seats you actually use, minus a tax benefit that's sitting on the table.

Buy the bus your route needs, then go ask your accountant about Section 132(f).

New vs Used, University Edition.

For a first campus or university fleet, used almost always wins. Here's the honest why.

Just like your new car, a new shuttle takes its steepest depreciation hit in the first couple of years, before it has moved a single passenger. A well-kept used unit already took that hit for you. Same working bus, but at a fraction of the price.

The catch is the records. Used only wins if the maintenance file backs it up. You need info on things like a documented history, a known chassis, current tires and brakes, a working lift. And remember, the cheapest unit in a class is usually cheap for a reason, and the reason is in the file. Or rather, there's probably NOT a file.

One of many examples on our lot right now fits the profile: a 2019 Freightliner 26-passenger shuttle, one owner, every service record, 41,000 miles. New money's worth of bus, at a used price, with the paperwork to prove it.

Buy the records, not just the bus.

When you're looking at shuttle buses, it's easy to get swamped by numbers. Especially the sticker price. But the real number to focus on is the number of seats in the shuttle.

We recently wrote a Mini Bus vs Shuttle Bus guide about how sixteen seats can be the line between easy to pay for and expensive. At 16 passengers or more, counting the driver, your driver needs a commercial license with a passenger endorsement, and your insurance requirement climbs. Stay at 15 or under and a standard license covers it, with a much lower floor.

So before you fall for a bigger bus, do this:

1. Size to your everyday run, not your once-a-semester peak. You fuel, insure, and park the empty seats every other day of the week.
2. If your daily load fits under 16, a 12- to 14-passenger cutaway keeps you off the CDL and the higher insurance tier.
3. If you truly need 25 to 35 seats, budget the CDL driver and the insurance now, not after the bus is in the lot. We'll be happy to help you decide!

If you run diesel coaches, you know the DEF derate headache. A sensor faults and the coach limps to the shoulder with a full load aboard.

Metro Magazine reported this month that the EPA has proposed removing those emissions-related engine derates on new heavy-duty diesels. Instead of dropping into limp mode when a DEF system faults, the bus would keep running and alert the driver so the fix happens safely. The American Bus Association backed it, and the EPA is taking comment on extending similar relief to coaches already in service.

Here is why it lands for used buyers. On any modern diesel coach, the emissions system is one of the first things to check, and derate history tells you how a unit was run and maintained. A more forgiving rule makes the whole diesel fleet, new and used, more dependable on the road. Reliability is most of what you are actually buying.

Here's the part that lands before the bus is even yours. One expert in it makes a point every used buyer should sit with. Before you secure anything, the wheelchair and the securement system have to be inspected and sound. You can train your team to use good equipment the right way. You can't train around a worn-out lift or a frayed tie-down.

So the order matters. On the used market you check the lift and the securement hardware first, then you buy, then you train. Sound equipment is what makes the training worth anything.

Most districts buy a bigger accessible bus than the route actually needs.

If you're moving a handful of students in wheelchairs on a suburban route, a lift-equipped cutaway usually beats a full-size Type C. It's easier to drive, park, and insure, and the lift sits closer to the door, which matters on every single load.

We've got a lift-equipped Ford cutaway on the lot right now that seats 14, around $58,000. A full-size lift-equipped Type C is a lot more bus and a lot more money. Different tools for different routes.

Where you've got more riders or longer runs, the big bus earns its size. The mistake is buying it by default, because that's just what a school bus is supposed to look like.

Buy for the riders and the route you actually have. For a light ADA route, are you sizing down to a cutaway, or keeping a full-size bus for the flexibility? Curious what's working for you.

You can train a driver but can't train a worn-out wheelchair lift.

Double check that the lift works first thing, not the last.

Here's the five-minute look that saves you a Monday morning breakdown with a student waiting at the curb:

1. Cycle it all the way through, up, down, fold, unfold. A lift that hesitates on the lot will quit on a route.
2. Check the tie-downs and the securement track for rust, wear, or missing hardware. That's the part that holds a rider in a crash.
3. Watch the hydraulics for leaks and slow travel, and make sure the manual backup works and someone can show you how.

Get those right and you're on a bus you can trust. Get them wrong and you've bought a repair bill.
