HELP WANTED 📣 Administrative Assistant needed. WE’RE LOOKING FOR A SELF-STARTER WHO MEETS THE FOLLOWING QUALIFICATIONS:

• Greet customers and handle incoming calls and inquiries in a professional manner.
• Schedule repair appointments & coordinate vehicle drop-offs and pick-ups.
• Prepare & process repair orders, estimates, invoices, & insurance documentation.
• Maintain accurate records of customer interactions, repair progress, and parts orders.
• Track parts deliveries & update technicians on arrival times.
• Assist with payroll, timekeeping, and other internal administrative tasks.
• Support the Body Shop Manager with reporting, scheduling, & other duties as needed.

➡️Availability to work M-F 8am to 5pm (flextime may be available)
➡️High school diploma or equivalent; associate degree or administrative training preferred.
➡️Previous experience in an automotive or collision repair environment is a plus.
➡️Strong organizational & multitasking skills.
➡️Valid drivers license & insurable.
➡️Excellent verbal & written communication abilities.
➡️Basic computer skills & familiarity with shop management software (CCC One) & Quickbooks a plus.
➡️Ability to work in a fast-paced environment & handle sensitive information with discretion.

Manages, motivates, and monitors a team of technicians and other employees to ensure that they are performing their jobs efficiently and effectively.
Directs and schedules the work of all body shop employees and manages the daily operations of the body shop, including parts inventory and customer scheduling.

Establishes and maintains good working relationships with insurance adjusters in order to settle claims quickly and fairly. Ensuring that all vehicles are repaired within timeframes specified by insurers.
Preparing and reviewing estimates to ensure that they are reasonable and within industry standards.

Ensures that customers receive quality repairs in a timely fashion. Providing customer service to customers who have had accidents, helping them through the claims process, and explaining the repair process.

Ensuring that all repairs are done at reasonable costs, that quality control standards are met, and that customer satisfaction is maintained.

Overall management of the day-to-day operations of their business to ensure it runs smoothly and seeks opportunities for continuous improvement in processes.
