POSITION DESCRIPTION
VEHICLE PORTER
Summary
The Vehicle Porter fills a highly critical role managing the care and documentation related to all club vehicles. As the focus of all members, the cars represent their motivation to be part of Freedom Supercars; therefore, the Vehicle Porter is an essential team member for satisfying and retaining members.
Primary Responsibilities:
Vehicle Preparation. The Vehicle Porter is responsible for one of the most important “first impressions” for members and guests – the moment they see the vehicle they will be driving for the day or weekend, As a result, it is critical that the Vehicle Porter make that experience exceed their expectations.
§ Detailing. The Porter must be highly knowledgeable and skilled in detailing high-end vehicles so they are always kept in pristine condition, especially when presented to a member for their reservation. When cars return they must be fully detailed so they are ready at all times, regardless of the next scheduled reservation time.
§ Delivery and Pickup. On occasion there will be a need to deliver the vehicle to the member and then pick it up when the reservation time is completed. The Porter must use excellent customer service skills when interacting with the members, delivering and picking up on time and helping to build a good relationship. If the vehicle is driven to its delivery, driving to and from the location should be completed cautiously and with strict adherence to all traffic laws.
§ Maintenance/Fuelling. Vehicles must always be filled with fuel and ready for the next reservation. As the Porter drives the vehicle to the fuelling location, careful attention is given to the handling of the car so that any maintenance issues are quickly identified and can be addressed. All fueling and maintenance concerns must be fully documented.
§ Member Vehicles. While members are driving the club vehicles, their personal car will typically be stored in our garage. Prior to the member’s return, the Vehicle Porter will perform a thorough wash on the member’s car, helping to reinforce our dedication to customer satisfaction. This last touch ends their experience on a very positive note.
Vehicle Administration. To provide for an efficient operation there are numerous duties that must be performed behind the scenes, allowing every important aspect of vehicle care to be addressed.
§ Documentation. The Vehicle Porter reviews each of the items on the Freedom Supercars checklist, documenting each step through the process. This includes checking things such as the number of miles driven, the amount of fuel used, condition of car, registration and inspection dates and other important criteria. The Freedom Supercars checklist is completed each time a vehicle is checked in or out by a member.
§ Photo Documentation. A critical responsibility is taking photographs of all angles and details of the car prior to it going out and immediately upon its return. The Vehicle Porter should follow the Photo Documentation Guidelines each and every time a vehicle is checked in or out by a member. This ensures that any damage is identified and there is clear evidence of when the damage occurred
and who is responsible. Depending upon the nature and extent of any damage, club management will determine how it should be addressed with the member.
Event Support: The vehicles are always a focal point of every event held at the club or at any alternative location. The Porter will assist in the preparation of vehicles, the showroom and setup for any club events. This includes transporting items from storage, staging cars in the showroom or alternate location, relocating furniture and any other needs that might be required to ensure all special events are exciting and seamless.
