Let's talk about understanding about used engines and transmissions.
Let's understand we are only installing it and ill let yall read this should clear up a lot of miscommunication issues on the matter..
The key distinction is the customer is paying for two separate things: the component and the labor/service to install it. A problem with a used engine or transmission does not automatically mean the installation labor becomes free or refundable.
Why the customer still owes for the job
1. A used engine/transmission is a separate product from the installation
When a shop installs a used engine or transmission, there are generally two transactions happening:
Used component: The engine/transmission itself.
Installation service: The labor required to remove the old unit, install the replacement, reconnect everything, fill fluids, program/relearn as necessary, diagnose, and test the vehicle.
If the replacement component turns out to have an internal problem, that generally means the component failed to perform as expected. It doesn't mean the mechanic didn't perform the installation service.
Think of it like buying a used alternator and paying someone to install it. If the alternator is defective, the fact that it failed doesn't make the installation work that was already performed disappear.

2. Labor isn't a guarantee that the used part will be good
This is probably the biggest misconception customers have.
A repair shop can control things such as:
Proper removal
Proper installation
Correct torque procedures
Proper connections
Correct fluids
Correct adjustment
Proper programming/relearn procedures
Testing
Diagnosis of installation-related problems
But the shop cannot control the internal condition of a used engine or transmission that it did not manufacture or rebuild.
A used transmission can have:
Worn clutches
Valve-body problems
Solenoid problems
Bearing noise
Pump problems
Internal leakage
Previous abuse
Contamination
Electronic problems
A used engine can have:
Low compression
Oil consumption
Bearing wear
Timing problems
Cylinder-wall wear
Hidden overheating damage
Crankshaft issues
Head/gasket problems
Internal leaks
Those problems may not be discoverable until the component is actually operating in the customer's vehicle.

3. The warranty on the part and the warranty on labor are not necessarily the same thing
This is where the customer's expectation often gets confused.
Suppose a salvage yard sells a transmission with a 90-day parts warranty.
That warranty might mean:
> If the transmission is defective, the supplier will replace the transmission subject to its warranty terms.
It does not automatically mean:
> Whoever installed the transmission must perform another complete removal and installation for free.
Whether replacement labor is covered depends on the specific warranty agreement between the customer, shop, and/or parts supplier.
That's why a shop's written warranty terms matter enormously.

4. Removing and reinstalling a defective unit is additional labor
This is the practical business issue.
Imagine:
Original job:
Remove failed transmission
Install used transmission
Fill fluids
Program/relearn
Test drive
You charge $X for that work.
Two weeks later, the used transmission develops an internal failure.
Now somebody has to:
1. Diagnose the problem.
2. Confirm the transmission is actually defective.
3. Remove the transmission.
4. Transfer components if applicable.
5. Install another transmission.
6. Refill fluids.
7. Program/relearn.
8. Test the vehicle again.
That is another substantial amount of mechanical work.
The shop didn't receive payment for that second removal and installation.
Unless the shop's warranty specifically promises free replacement labor, there is no logical reason that the mechanic should automatically absorb those hours.

5. The shop shouldn't be punished for a supplier's defective component
This is especially important with salvage/recycled components.
A repair shop may purchase a used transmission from a supplier.
The shop didn't manufacture it.
The shop didn't rebuild it.
The shop didn't cause the internal wear.
The shop may have done everything correctly and still end up with a defective unit.
If the shop automatically had to eat every hour of labor associated with every defective used component, the economics become ridiculous.
For example:
Job #1
Customer pays:
$2,500
$1,300 transmission
$1,200 installation labor
Transmission fails.
Shop replaces it.
Second installation costs the shop another:
$1,200 in labor
Now the shop has effectively performed:
$2,400 worth of installation labor
but only collected:
$1,200
And that's before considering:
Technician wages
Payroll taxes
Workers' compensation
Shop utilities
Insurance
Equipment
Lifts
Diagnostic equipment
Consumables
Fluids
Shop supplies
Warranty administration
Lost bay time
Lost opportunity to perform another paying repair
That's not sustainable.

6. A warranty is not the same thing as a guarantee that nothing will ever go wrong
A warranty generally establishes what happens if a covered failure occurs.
It doesn't necessarily mean:
> "The vehicle will never have another problem."
A used drivetrain component is particularly important because there are multiple possible causes for a complaint.
For example, after installing a used transmission, the vehicle might still have:
Wiring problems
TCM problems
Sensor problems
Transfer-case problems
Differential problems
Axle problems
Engine-performance problems
Electrical issues
Programming issues
Cooling problems
The shop has to diagnose the actual failure before determining whether the transmission itself is defective.

7. The shop must distinguish an installation failure from a component failure
This is critical.
Example A β Shop caused the problem
Suppose the technician:
Forgot to connect a sensor
Failed to torque something
Installed something incorrectly
Damaged wiring
Failed to fill the transmission properly
Installed the wrong component
Caused damage during installation
That's different.
The shop potentially has responsibility for correcting its own workmanship error.
Example B β Used transmission internally fails
Suppose everything was installed correctly and the transmission develops an internal clutch failure.
That's fundamentally different.
The component failed.
The installation did not necessarily fail.
Example C β Customer's vehicle causes the failure
Another possibility is an underlying vehicle problem.
For example:
Transmission cooler contamination
Electrical fault
Charging-system problem
Engine issue
Cooling-system problem
Computer problem
Customer continues driving despite warnings
Again, that isn't automatically an installation defect.

8. There is a real economic value to the original labor
Customers sometimes look at the situation like this:
> "The transmission was bad, so why should I pay you $1,200?"
Because the mechanic still performed $1,200 worth of work.
The technician didn't get those hours back.
The vehicle still had to be:
Put on the lift
Disassembled
Reassembled
Serviced
Diagnosed
Tested
The fact that the replacement component subsequently failed doesn't retroactively erase the labor.
That's an important concept.

9. Why shops charge labor on replacement units
A professional shop has to protect itself from becoming an unpaid warranty department for parts suppliers.
If every defective used component resulted in free labor, the shop would essentially be assuming the financial risk of the salvage yard's inventory.
That's backwards.
The supplier is the party selling the component.
The shop is selling the installation service.
The warranty terms should establish who bears the risk of the component failing.

10. There are also situations where the customer may owe diagnostic labor
This gets even more important.
A customer says:
> "The transmission you installed is bad."
The shop shouldn't necessarily just pull it back out immediately.
The shop may have to spend time determining:
Is the transmission actually defective?
That can involve:
Scanning codes
Road testing
Checking fluid
Checking pressures
Checking wiring
Checking solenoids
Checking modules
Checking sensors
Checking communication networks
Checking cooler flow
Checking installation
Checking other drivetrain components
That diagnostic work is itself labor.

11. Used parts carry inherently different risk than new/rebuilt parts
This should be explained to customers before the job begins.
A used engine or transmission is not equivalent to a brand-new factory component.
You're buying a component with a history that may be partially or completely unknown.
The advantage is usually cost.
For example:

The customer chooses the used component because it is more economical.
But the economic advantage comes with additional component risk.

12. This is why written terms are so important
A shop should have the customer acknowledge, before the repair, exactly what is being purchased.
Something along these lines is much clearer:
> USED ENGINE/TRANSMISSION WARRANTY & LABOR TERMS
Used engines and transmissions are supplied subject to the manufacturer's, recycler's, salvage yard's, or supplier's applicable warranty terms. The warranty covers the component only to the extent provided by the supplier's written warranty.
Installation labor, removal labor, diagnostic labor, fluids, seals, gaskets, filters, programming, calibration, towing, rental vehicles, and other incidental costs are not included in the component warranty unless specifically stated in writing on the repair order.
If a supplied used component is determined to be defective and requires replacement, the replacement component may be covered according to the supplier's warranty. Additional labor required to remove and install a replacement component is the customer's responsibility unless the written warranty specifically provides otherwise.
Warranty coverage is contingent upon proper installation, proper maintenance, and compliance with the supplier's warranty requirements.
Important: That's a business-policy example, not a statement that those exact terms will necessarily be enforceable in Oklahoma. Your actual warranty language should be reviewed for Oklahoma consumer/repair-law requirements.

13. The simplest way to explain it to a customer
I'd put it this way:
> "You're paying us for the installation, not for us to manufacture the used engine or transmission. We are responsible for installing the component correctly. The used component itself is subject to the supplier's warranty. If the component is defective, we'll help determine that and pursue the warranty, but removing and installing another component is additional labor unless the warranty specifically covers that labor."
That's a very reasonable explanation.

The important distinction
The entire issue boils down to this:
PART WARRANTY β LABOR WARRANTY
And:
COMPONENT FAILURE β INSTALLATION FAILURE
If your shop performed the installation correctly and the used engine/transmission subsequently proves defective, there are two separate questions:
1. Who is responsible for the defective component?
2. Who is responsible for the additional labor required to replace it?
The answer to #1 may be the supplier.
The answer to #2 depends heavily on the shop's written warranty and the agreement made with the customer.
And that's exactly why you want those terms clearly written on every estimate/repair order before you install the used component.
