Job Overview:
Kilkenny Commercials LTD based in Dundalk, Co. Louth is a commercial vehicle workshop carrying out sales, servicing and repairs. We are seeking an Administration Officer/Bookkeeper who will support daily office operations, coordinate administrative processes, and ensure smooth communication across departments. This role involves managing office resources, maintaining records, assisting management, and providing general administrative support to staff. The Administration Officer/Bookkeeper ensures accurate financial recordkeeping, supports daily accounting operations, and provides timely financial information to management. This role is central to maintaining the organization’s financial health and compliance.
Skills and Qualifications:
• Proven experience in an administrative or office management role.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle confidential information with discretion.
• Attention to detail and problem-solving skills.
• Coordinate and oversee administrative and office operations.
• Manage and maintain accurate company records, files, and databases.
• Prepare and edit correspondence, reports, and documents.
• Handle incoming calls, emails, and other communications professionally.
• Ensure compliance with organizational policies and procedures
• Proven experience in bookkeeping, accounting, or a similar role.
• Proficiency with accounting software (e.g., QuickBooks, Xero, Sage).
• Excellent communication and time management abilities.
• Previous experience or knowledge of motor trade or commercial vehicles would be an advantage but not necessary.
Key Responsibilities:
• Record daily financial transactions, including sales, purchases, receipts, and payments.
• Reconcile bank statements, credit card accounts, and general ledgers.
• Prepare and process invoices, expense reports, and payroll.
• Maintain organized records of financial documents and support audits.
• Generate monthly, quarterly, and annual financial reports.
• Ensure compliance with relevant laws, tax requirements, and accounting principles.
• Collaborate with external accountants or auditors as needed.
