🚗 New Garage Invoice Updates, Built Around Your Requests

We’ve recently released several new updates to Garage Invoice, and we’re pleased to say that these improvements have come directly from requests made by our users.

A big thank you to everyone who shares feedback, suggestions, and ideas with us. It really does help us improve Garage Invoice and make it more useful for garages every day.

Here’s what’s new:

✅ Attach a Vendor/Supplier to an Item
You can now attach a Vendor/Supplier to any item line on Invoices, Quotes, Job Cards and more. This makes it much easier to see who supplied a part.

This option can be found in the + menu on the document item table.

You can also set a default Vendor/Supplier directly on an item by going to Sales > Items. We’ve also added a new Part Number field to the item screen. Part Numbers can be shown to customers on tables, documents and PDFs by enabling this option in:

Setup > Settings > Sales > Show Part Number

✅ New Calendar Views
We’ve recently added 6-month and 12-month calendar overview views.

We’ve also introduced a new Google Calendar-style view, which includes availability bars for each day. These bars help you see how busy the day is before opening the full calendar.

The availability bar represents your working day and shows where bookings sit throughout the day, whether that’s in the morning, middle of the day, or afternoon. The colour also helps show how busy the day is.

✅ Online Shop Improvements
We’ve improved the shopping experience for your customers by allowing the Online Shop to be embedded directly into your own website.

We’ve also added extra options to help manage your shop, payment options and orders more easily.

✅ Improved Accounting Integrations
We’ve improved our accounting integrations even further.

The Xero sync has been optimised to reduce the time and number of requests made to Xero servers, helping speed up the syncing process.

We’ve also improved QuickBooks expense sync, including support for syncing attachments and more.

✅ New Daily Capacity Report
The new Daily Capacity Report helps you see how many working hours are available, booked, blocked and still unbooked for each day.

This gives you a clearer overview of your workshop capacity, making it easier to spot busy days, free time and unused availability.

✅ Email Integrations
We’ve simplified the way you can connect your Gmail, Outlook or Hotmail account to Garage Invoice.

This allows you to send email notifications from Garage Invoice using your own email address.

✅ SMS Integrations
Until now, Garage Invoice supported 3 external text messaging gateways.

We’ve now added 6 more SMS gateways, giving you more options for sending MOT reminders, service reminders and other text message notifications directly from the system.

✅ New Security Options
We’ve also added new security options for Staff Members and Customers.

You can now improve account security with:

🔐 Passkeys, including biometric login
🔐 Google reCAPTCHA
🔐 Two Factor Authentication
🔐 Login Attempt Protection, to lock users out after several failed login attempts.

🔒 Your Data in Garage Invoice, Are We Keeping You Hostage?

No, absolutely not.

We know how important your business data is. Customer details, invoices, estimates, job cards, vehicle records, notes, attachments and all other information stored inside Garage Invoice belong to you.

You are the owner of your data.

Garage Invoice does not sell, share, rent, give access to, or pass your data to any third parties for marketing or any other external use. Your data is stored securely and is only used to provide the Garage Invoice service to you, helping you manage your customers, vehicles, invoices, job cards, appointments and day-to-day garage paperwork.

We have heard from several garages that their current software provider will not let them export their data, sometimes because they are still in the middle of a contract.

In our opinion, that is not fair.

Your data should never be used to keep you locked into a system.

At Garage Invoice, we do things differently. Your data is yours, and you can take it with you whenever you need it.

In the latest update, we have made this even easier. We have introduced a new Export All Data tool, which allows you to export your Garage Invoice data as CSV files, along with PDF copies of documents such as invoices, estimates, job cards and other records.

This can be useful if you ever decide to leave us, or simply if you want to keep your own backup.

🚀 The latest Garage Invoice update is now live!

We’re excited to let you know that the latest Garage Invoice update is now available.

This update includes a wide range of new features, improvements and rebuilt sections, all designed to make Garage Invoice faster, easier to use and more powerful for your day-to-day garage management.

We have focused on improving document creation, item management, reports, expenses, the Online Shop and the POS system.

🧾 New Item Table on Documents

We have improved one of the most important parts of Garage Invoice, the item table used on invoices, estimates, job cards and other documents.

The new item table is designed to make creating documents faster, clearer and more flexible.

✅ Discounts on every item line

You can now apply a discount directly to individual item lines, either as a fixed amount or as a percentage.

This gives you much better control when discounting specific parts, labour, tyres or services.

📦 Bundle Items

You can now create bundles of items and add them to a document with one click.

For example, you could create an Oil Service bundle that includes oil, oil filter, labour, checks and any other standard items you normally use.

This should save time when adding common jobs or service packages.

📊 Purchase Price, Margin and Markup

You can now add purchase prices to item lines and see real-life profit, margin and markup directly on the document.

This helps you understand how profitable a job is before completing it.

📝 Header and Text Rows

You can now add header rows and extra text rows inside the item table.

These can be used to separate sections, highlight important information, add notes under item lines, or make documents easier for customers to understand.

💷 Price Includes Tax

You can now set Price Includes Tax directly on individual item lines when needed.

This gives you more flexibility when working with items where the selling price already includes VAT.

🛠️ Improved Items Management

Managing items is now easier and clearer.

Items can now be organised into useful groups, including:

Labour, Parts, Tyres, Consumables and Subcontract.

You can also check each item’s profitability, including margin percentage, markup percentage and profit.

Stock control can now also be managed more clearly from the item edit screen.

We have also added extra options for the Online Shop and POS, so you can control where each item appears, manage pricing, and set shipping fees where needed.

📌 Custom Notes

We know that many garages regularly use the same text on invoices, job cards and other documents.

You may often need to add aftercare advice, warranty notes, payment terms, service recommendations, collection instructions, or other repeated messages.

With the new Custom Notes feature, you can now save these notes and reuse them whenever you need them.

This should help speed up document creation and keep your wording consistent across the system.

🧾 Rebuilt Expenses

We have completely rebuilt how expenses work.

Expenses now use the new item table, which means you can add multiple expense lines with different tax rates in one go.

This makes expenses more flexible, clearer and more accurate.

It also improves the process of converting Purchase Orders into Expenses.

🛒 Rebuilt Online Shop and POS

We have completely rebuilt the Online Shop and POS system.

The Online Shop now has a cleaner layout, improved navigation, a better checkout process and new shipping fee options.

This makes it a much more complete online store for selling car parts, tyres and other products.

For tyre sales, we have also added extra filters to help customers find the correct tyre by size, brand and other details.

The POS system has also been improved with better controls, improved cart management for serving multiple customers, product detail views, and card payment options through Stripe and Mollie.

📈 New Reports

We have added new reports to help you better understand your business and make more informed decisions.

📊 Profit & Loss Report

Get a clearer overview of your sales, costs, expenses, gross profit, net profit, margins and average profit per invoice for a selected period.

💰 Profit & Margin Report

Review sales, costs, gross profit, average margin, markup, low-margin sales, items below target and items sold at a loss.

You can also set a target margin percentage and quickly spot where your margins may need attention.

🧾 VAT Summary Report

The new VAT Summary Report is designed to help with VAT return preparation.

It shows VAT on sales, VAT reclaimable on expenses and purchases, adjustments, and the estimated VAT due to HMRC for the selected period.

You can now start using Inspection Forms / Vehicle Health Checks (VHC) to give your customers clear, professional-looking reports that help identify issues, build trust, and increase sales.
With the advanced VHC Builder, you can easily create professional inspection forms tailored to your business.

🗓️ We have also introduced Provider / Bay splitting for Appointments.

So if a customer books MOT + Service + Tyre Fitting, the system can automatically split that booking between the correct bays, ramps, or providers, helping you maximise workshop usage and schedule jobs more efficiently.
