We are seeking a highly organized, detail-oriented, and friendly Administrative Assistant to be the backbone of our daily operations. In this vital role, you will be the first point of contact for our customers, ensuring smooth administrative flow so our technicians can focus on quality repairs. The ideal candidate thrives in a busy environment, can manage multiple tasks simultaneously, and possesses excellent communication skills.
Key Responsibilities:
Greet customers warmly in person, over the phone, and via email.
Schedule service appointments using our shop management software.
Provide timely updates to customers regarding the status of their vehicle repairs.
Manage the check-in and check-out process, including processing payments.
Maintain a clean, organized, and welcoming front office and waiting area.
Prepare and finalize repair orders (ROs) and invoices accurately.
Manage filing systems (digital and physical) and maintain customer records confidentially.
Handle general office duties, including managing mail, ordering office supplies, and coordinating vendor communications.
Assist the shop manager with basic bookkeeping tasks.
Qualifications & Skills :
Proven experience as an administrative assistant, receptionist, or in a similar customer-facing role.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities, with the capacity to prioritize tasks effectively in a fast-paced setting.
A professional demeanor and a positive, problem-solving attitude.
Previous experience working within an automotive, dealership, or parts environment and basicunderstanding of automotive terminology and asset.
Hours are Monday-Friday
