Under the direction of the OWNER, the Automotive Office Manager oversees administrative and operational functions creating excellence in customer experience, quality of work and service expectations.
We are looking for an energetic professional who does not mind wearing multiple hats to join this team driven organization. Experience in handling a wide range of administrative and automotive related tasks and able to work independently with little supervision. Well organized, people focused, and goal oriented with the ability to enjoy the administrative challenges of supporting a fast-paced office of an automotive repair shop.

The owner, Greg Theofilopoulos, can be found in customer cars working side by side with his technicians making sure every job is done with precision.
We diagnose the issue a car has by listening to your concerns and then inspect the car or run diagnostics using the latest vehicle software and technology. Once the issue has been found, we will then give you an honest quote with full details and ask your permission to repair the car.

REQUIREMENTS of the Automotive Office Manager:
• Proven office management, administrative or assistant experience
• Minimum of 2 years of automotive or office experience required
• Knowledge of office management responsibilities, systems, and procedures
• Excellent time management skills and ability to multi-task and prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Proficient in MS Office
• Knowledge of accounting, data and administrative management practices and procedures
• Knowledge of clerical practices and procedures
• Knowledge of business and management principles
RESPONSIBILITIES of the Automotive Office Manager:
• Manage day to day operations by developing and maintaining company policies and service expectation.
• Ensures operations and procedures are organized, variances are controlled, and processes are reviewed and approved and that clerical functions are properly completed
• Order all incoming parts and supplies required for each job
• Maintaining an excellent reputation with all distributors
• Communicate effectively and appropriately with staff and customers.
• Facilitate and ensure completion of all assigned work orders
• Delegate and redirect workflow, as necessary.
• Ability to support all job tasks for positions supervised.
• Employee time and attendance management.
• Process information in a professional and confidential manner.
• Light bookkeeping and accounting including preparing bank deposits, processing AP, AR, analyzing variances, and initiating corrective actions. Review of financial data, statistical reports, databases, and spreadsheets
• Works collaboratively with owner to determine what is needed or needs to be completed
• Maintain a professional appearance and orderly work environment.
• Experience with Mitchell 1 shop management software is a plus
• Responsible for month end reconciliation, preparing accounting documents
• Cleaning of waiting room and washrooms
Job Type: Full-time
Pay: To be determined
Schedule:
• 8 hour shift
• Monday to Friday
